*** ENTRY DEADLINE: Friday 17th January 2020 ***


1. Review the relevant category criteria on the 2020 entries page as well as the Rules and Guidelines for Entry (below)

2. Click the ‘ENTER NOW’ button, on the 2020 Entries page, where you will be asked to complete your contact details and will be given the option to save your records.

3. Select your category(ies) and input information online. You can log-in and out of the system when completing your submission(s). For each category’s criteria, click ‘View criteria’ on the Entries page for details of what you will be asked to complete and what supporting material is required or suggested.

4. Once you have completed the entry form, proceed to submit and pay for your entry. Once you have done this you will receive a confirmation email with details of your submission (please retain this email for your records).


Entry fees:

Advisers, Providers, PR Companies, Consultants - £180 + VAT per entry until Friday 20th December; thereafter £200 +VAT per entry.

Employers - £180 + VAT per entry until Friday 20th December; thereafter £200 + VAT per entry.

Withdrawal of entry/ies: Any entry may be withdrawn for any reason up until 17.00hrs on Friday 11th January upon written request to the organisers, however the entry fee is non-refundable. Email phoebe.scanes@employeebenefits.co.uk

Refunds: Once submitted, all entries are confirmed and non-refundable.


In order for your submission to be considered, please adhere to the following rules and general guidelines for entry:


o Entrants must be practicing in-house HR teams in organisations operating outside of the employee benefits industry. Providers, advisers and consultants may not enter other providers/advisers/consultants operating within this market. Such entries will be disqualified and no refunds will apply.

o Providers, advisers and consultants wishing to enter their own organisation must do so in the Best supplier to work for category.

o Benefits providers, advisers and consultants must not enter their own organisation as an employer into any category other than ‘Best supplier to work for’. Any entry that is deemed to be of this nature will not be judged and will be withdrawn. In these instances, entry fees will not be refunded.

o Strategies/schemes that were running at any time during 2019 are eligible for entry. They could have been running for several years or launched during 2019.

o The judging panel reserves the right to move entries from one category to another if they feel it is more appropriate. However, they cannot be expected to routinely re-categorise incorrectly entered projects. The judges' decision is final.


o All entries must be submitted by the entry deadline, as specified above. Entries will not be considered fully submitted until the entrant proceeds to the final stage and submits their entry and payment. A confirmation email will be received once complete.

o Entries may be edited up until the point of 'submission'.


o All submissions must be made online through the online entry portal.

o In all cases, the judges are looking for concise written submissions and your entry should cover as many of the listed criteria as possible.

o Please keep the word count within the stipulations per question. Please note that the judging panel reserves the right to penalise entries exceeding the word limit.

4. SUPPORTING MATERIALS o Please read the relevant category criteria to establish what type of supporting material should be included.

o Digital uploads may take a variety of formats e.g. PDF, Word, Excel, PowerPoint or jpeg file. Please ensure that uploaded logos, video and any supporting files follow the supporting material guidelines and together do not exceed the maximum upload limit of 20MB per entry. Please note when uploading supporting material file names must not include any 'special' characters e.g. _ / ( ) & * ".

o Where websites form part of an entry, please ensure any URLs, access details, usernames and passwords needed for judging are supplied, that they work, and that they will continue to work until the end of March 2020. Sites that cannot be viewed will be eliminated from the judging.


o Should you wish to identify elements of your entry as confidential, please highlight any sections of the form that we may not share outside of the judging panel by ensuring you clearly explain in a separate email to phoebe.scanes@employeebenefits.co.uk to flag these sections. This must be actioned at the time of submission.

o Please note that by agreeing to judge, all our judges are bound by our confidentiality agreement.

o Employee Benefits and associated brands within DVV Media HR may choose to publish a selection of winning and shortlisted entries editorially or use for other business or marketing purposes as an example of best practice. We will exclude any material flagged as confidential according to the instruction above.


o All entrants must supply all contact details as requested in the online form for a main point of contact we can approach should the entry require any further clarification.

o In the event that your entry is shortlisted, all entry form details, e.g. Entry title, as completed in the online entry process will be used on Awards collateral (e.g. Website, Awards graphics, Awards Supplement, and in the event that your entry wins, on the trophy). Copy will adhere to the brand’s house style.

o Please ensure that the information submitted is accurate and the correct companies are credited as appropriate. We accept no responsibility for any incorrectly submitted information.

o When entries are submitted on behalf of clients or another third party, approval is assumed. If any issues arise concerning approval once the entry has been submitted, no refund will be given.


o If nominating a third party, please provide as much information as possible, including email address so we can contact your nominee.
